We are all in unprecedented times. Due to the outbreak of COVID-19, commonly referred to as the Coronavirus, many of us are sheltered in place and doing our best to keep up on our lives and work in a time where normalcy is a foreign word. Those of us in the tech industry are blessed to be able to remotely perform our work duties, but our heart aches for those out there that have had their careers and livelihood upended. As a company with offices on 2 separate continents, we know the effect that this pandemic has had on the world at large, and we wish all of you out there the best in navigating these troubled times. 

Because of the strange times we find ourselves in, we wanted to put together a recurring series of articles aimed at tackling some of the questions we get regarding the tools and APIs that have been thrust into the forefront of all of our daily lives. The Quarantine Chronicles series will cover tech questions and guides regarding many of the programs some of you out there are being forced to learn quickly, or use daily.

Without further ado, let’s head into another entry of this series with a simple look into how you can go about monitoring usage and feedback in MS Teams.

What is MS Teams?

Microsoft Teams (or MS Teams, for short) is a communication and collaboration platform that features chat, video meetings, file storage, and more. Because the platform is part of the Office 365 suite of applications, it fully integrates with the rest of the MS offerings, as well as a handful of non-Microsoft products through extensions. 

Launched in 2017, MS Teams emerged as a direct competitor to Slack, after Microsoft attempted a failed buyout of the popular chat and messaging platform. Bill Gates himself came out against the purchase, instead opting for Microsoft to focus on improving their Skype for Business application. 

While Slack still enjoys widespread popularity, MS Teams has grown in usage quickly. This can be attributed to it being included in the Office 365 subscription plan, so companies using the Microsoft Suite for other business needs can take advantage of MS Teams’ functionality at no additional cost.

Monitoring Usage and Feedback in MS Teams

MS Teams provides a set of UI tools within the platform to allow for a deeper look into how users are using Teams and what their experience is. The reports generated by the platform give a deeper insight into usage patterns, as well as provide useful feedback to help with the prioritization of training and communication efforts. 

Microsoft recommends reviewing reports twice a week to best understand any emerging trends within a Team. The reports can provide information on how many users are using a web client versus a mobile client, or which users are primarily using the platform for private chats as opposed to team channels.

To view these reports, you must have admin credentials in Office 365, Teams service, or Skype for Business. In the Microsoft Teams admin center, select Analytics & Reports from the left navigation sidebar. The select Reports and you will be given a handful of different report types to choose from. Some of the available reports are:

  • Team Usage Report
    • This report will provide an overview of all activity within your organization’s Teams. This includes users and channels, as well as the currently active users, and a message count across any channels.

  • Teams User Activity Report
    • This report is primarily to show you more insight into the type of activity your Team users are participating in. You can see get information on how many 1:1 calls took place, how many messages were sent in private chats, and more.

  • Teams Device Usage Report
    • This report provides information on how your Team members are accessing the platform. The report provides a breakdown of how many users are connecting via web client or specific mobile hardware. This report also shows how each individual Team member is connecting.

The information in the reports is enlightening to help determine steps that be taken to be more proactive with your Team’s usage, but keep in mind that user feedback should also be routinely collected and responded to. Encourage your Team members to use the Feedback channel to send any thoughts or ideas to better their experience with the platform and your Team.
